Service Agreement & Travel Policies
Last updated: October 2026. These terms govern all car rentals, outstation trips, local cab services, bus hires, and customized holiday packages booked with Venkateswara Tours and Travels (owned and operated by Shiva, Hyderabad, Telangana). By requesting a quote or booking a journey, you agree to these terms.
1. Booking & Confirmation
1.1. Submitting a trip inquiry through this website, phone call, or WhatsApp constitutes a request for quotation and vehicle availability.
1.2. A booking is considered confirmed only after mutual agreement on the trip itinerary, vehicle type, and estimated fare, followed by the receipt of an advance booking token where applicable.
1.3. For peak festival periods, auspicious wedding dates, and temple seasons (e.g., Tirupati, Srisailam, Sabarimala, holiday long weekends), advance confirmation is required to lock in the requested vehicle model.
2. Pricing, Kilometers & Fare Structure
2.1. Local Travel (Within Hyderabad / Secunderabad): Local packages are billed on package slabs (e.g., 8 Hours / 80 Kilometers or 12 Hours / 120 Kilometers). Extra hours and kilometers beyond the chosen package slab are charged at the specified per-hour and per-km rates for the respective vehicle category.
2.2. Outstation Travel: All outstation journeys have a minimum billing distance per calendar day (standard 250 km – 300 km per day depending on the vehicle class: Sedan, Innova Crysta / SUV, Tempo Traveller, or Bus).
2.3. Garage to Garage Calculation: For outstation trips originating in Hyderabad, kilometer calculation begins and ends from our central Hyderabad garage/dispatch point, unless an all-inclusive fixed point-to-point package has been explicitly agreed upon in writing.
2.4. Standard Exclusions: Unless explicitly noted in an all-inclusive package quote, the following expenses are charged at actuals and are the responsibility of the client: toll plaza charges (Fastag), state border entry tax and interstate permits, parking fees, and monument/temple entry tickets.
3. Driver Allowances & Night Driving
3.1. Driver Batta: A standard daily driver allowance (Batta) applies per calendar day for outstation journeys to cover driver meals and daily maintenance.
3.2. Night Driving Allowance: Trips requiring active travel between 10:00 PM and 06:00 AM incur an additional night allowance to ensure driver rest and safe operation.
3.3. Driver Rest & Safety: For long-distance trips exceeding 500 km per day, adequate rest intervals for the driver are mandatory to uphold passenger road safety.
4. Cancellation, Rescheduling & Refund Policy
We understand travel plans can shift unexpectedly. Our cancellation guidelines are designed to be fair and transparent:
- Cancellation > 48 hours prior to pickup: Full refund of any advance token deposit, or 100% credit toward a future rescheduled journey.
- Cancellation between 24 and 48 hours prior to pickup: 50% refund of advance deposit to cover vehicle allocation adjustments.
- Cancellation < 24 hours or Vehicle Dispatched: Advance deposit is non-refundable as the vehicle and driver have been reserved and staged exclusively for your trip.
4.2. In the event of emergency lockdowns, severe weather warnings, or natural emergencies, we offer hassle-free date rescheduling without cancellation penalties.
5. Vehicle Capacity & Passenger Conduct
5.1. Strict Capacity Limits: Seating capacities registered under Regional Transport Authority (RTA) norms must be strictly respected (Sedan: 4 passengers; SUV: 6-7 passengers; Tempo Traveller: 12-20 passengers; Buses: 30-50 passengers). Overcrowding is legally impermissible.
5.2. Prohibited Substances: Carrying illicit drugs, firearms, hazardous or inflammable goods, or contraband inside the vehicles is strictly prohibited.
5.3. Cleanliness & Smoking: All our fleet vehicles are maintained as 100% non-smoking and sanitized. Any internal damage, burns, or excessive soiling requiring professional detailing will be charged to the booking party.
6. Customer Belongings & Breakdown Contingency
6.1. Luggage Care: While our drivers are trustworthy and courteous, customers are advised to personally safeguard high-value personal effects (cash, jewellery, laptops, and mobile devices). Venkateswara Tours and Travels is not liable for items left unattended or misplaced in vehicles.
6.2. Breakdown Contingency: We maintain our own fleet with rigorous routine mechanical servicing. In the rare event of an unexpected mechanical breakdown during a journey, we will make immediate arrangements for an alternative replacement vehicle or assist with onward travel without delay.
7. Jurisdiction & Dispute Resolution
7.1. These terms are governed by the laws of India. Any disputes, claims, or legal proceedings arising out of or related to our travel services shall be subject to the exclusive jurisdiction of the competent courts in Hyderabad, Telangana.
